Zilch vs Chemwatch for SDS Management

Zilch Team · · Comparison · Information reviewed

If your main job is managing hazardous chemicals safely, Chemwatch should be on your shortlist. If your main job is getting the right supplier SDS against the right products and answering customer requests across a wholesale catalogue, Zilch is worth comparing.

Those needs overlap, but they can lead to different purchasing decisions. A chemical importer preparing Australian safety data sheets needs capabilities that a distributor collecting existing supplier documents may not need every day.

The useful question is what happens after somebody says, "Can you send the SDS?" Who finds it, checks it, gets it updated, sends it and records which version went out?

First establish what SDS management means in your business

A safety data sheet contains information about a chemical's hazards and safe handling. Having a folder of SDS PDFs is only one part of managing that information.

For a wholesaler, the work may involve obtaining the document, matching it to the product supplied, checking that it suits the Australian market and making it available to customers.

For a workplace using chemicals, the work may also include chemical inventories, registers, risk assessments, storage controls and emergency information.

For a manufacturer or importer, it can include classification and SDS preparation. Those activities need reliable formulation information and appropriate chemical expertise. They cannot be solved by changing a logo on an overseas PDF.

Safe Work Australia distinguishes these responsibilities. Its guidance expressly includes distributors, wholesalers and on-sellers among hazardous chemical suppliers, while manufacturers and importers have additional duties. Check the rules in the jurisdiction where you operate, including Victoria's separate OHS framework.

Where Chemwatch is strongest

Chemwatch is a specialist chemical management provider. Its published offering includes SDS management, SDS authoring and chemical safety services.

Its product range extends beyond collecting documents. Chemeritus covers chemical management and related records, while other services address risk assessment, regulatory information and emergency response.

Chemwatch also offers SENTintel for SDS distribution. That matters because automated customer delivery is not unique to a general compliance platform.

If your team needs a chemical database, classification support, authoring, workplace chemical controls or specialist advice, evaluate those capabilities directly. They may be central to why you need the software.

Where Zilch fits

Zilch's SDS use case sits inside a broader distributor workflow. A product may need an SDS alongside a test report, supplier declaration, certification, sustainability information and answers to a buyer's questionnaire.

The same account manager may be asked for all of them. The same supplier may need chasing for several missing documents. The same product record should tell the team what it holds and what is still unresolved.

Zilch helps manage that connection between catalogue items, supplier evidence and customer requests. Its value depends on how much time your business spends gathering and repackaging this information across different types of compliance work.

Evaluate it for that job. Do not assume that an SDS collection workflow includes chemical authoring, formulation assessment or the specialist functions of a chemical safety system.

The comparison below separates SDS sourcing and matching, authoring, chemical inventories, risk assessment, customer distribution and other product-compliance evidence.

A matching SDS is more useful than a familiar filename

Imagine a wholesaler selling a cleaner in a 750 mL bottle and a 5 L refill. A document search returns a similarly named product from the same brand.

That might be the correct SDS. It might also describe a different formulation, concentration or market. The pack size alone will not settle the question, and a similar trade name is not enough.

Ask both vendors to demonstrate how they confirm the product identity and flag uncertain matches. Use a sample with private-label items, changed supplier codes and products that have been reformulated.

For imported products, check the document's Australian supplier or importer information and relevant local requirements. A document written for another jurisdiction may need more than translation.

The platform should preserve the original source and make it clear who accepted the match. Otherwise, a confident search result can become a confident error repeated across every customer response.

Review dates need proper interpretation

An SDS has preparation and revision information. Your process should identify overdue reviews and superseded versions, while recognising that a newer document can become necessary before the next scheduled review.

Under model WHS guidance, SDSs must be reviewed at least once every five years and amended when necessary. That is a review requirement, not a promise that every SDS remains suitable for five years. Safe Work Australia's preparation guidance explains the requirements.

Ask what happens when a supplier publishes an update. Does the system find it, request it or wait for your team to upload it? Can you identify affected SKUs and the customers who received an earlier version?

Also distinguish a failed collection request from an accepted document. "Supplier contacted" is useful progress. It does not mean the product's evidence is complete.

Test customer delivery with an actual order

Choose an order containing several chemical products, one missing SDS and one updated document.

Ask the vendor to show how it identifies which documents need to accompany the supply, makes the current version accessible and records the delivery process. Confirm the workflow against your legal obligations and customer agreements rather than treating a successful email as proof of compliance.

If your customers use procurement portals, test those too. A system that can email a link may still leave somebody manually uploading 25 attachments into a customer form.

This is also where broader product documentation becomes relevant. If the buyer requests an SDS, responsible sourcing information and a product comparison, establish whether your team will assemble the response in one workflow or across several systems.

Keep safety information intact when sharing documents

Distributors understandably want to protect commercial supplier relationships. However, safety documents may contain information that must remain visible, including the identity and contact details of the responsible Australian supplier or importer.

Set document-sharing rules by document type. Redacting manufacturer names from a commercial report is a different decision from editing an SDS or removing required emergency information.

Before approving automatic redaction, test the output with the person responsible for chemical compliance. Preserve the complete original and record what changed in the shared version.

Your software should support the correct disclosure decision. It should not turn supplier confidentiality into missing safety information.

Compare costs using the same scope

Ask each vendor for a proposal covering your products, users, locations, document volumes, integrations and support requirements. For chemical authoring, establish what is charged per document and what expert review is included.

Separate the cost of software from the cost of producing a technically adequate SDS. An inexpensive system that stores files does not make a classification task disappear.

Then measure the administrative work remaining. Use a short trial to count time spent finding documents, reviewing matches, chasing suppliers and fulfilling customer requests.

Avoid comparing a full chemical management package with a narrower document-management subscription as though the extra functions have no value. Equally, do not buy extensive chemical management capabilities merely because you need a better way to collect supplier PDFs.

When to choose each approach

Choose a specialist chemical management approach when your business needs chemical safety functions, SDS preparation or technical regulatory support. Chemwatch has a substantial published offering in that area.

Consider Zilch when the recurring bottleneck is distributor paperwork across a mixed catalogue and SDSs are one important part of the evidence you need to organise and share.

There may be a case for both. One system can provide specialist chemical information while another supports broader buyer responses. Before purchasing two tools, agree which holds the authoritative SDS, how versions are synchronised and whether a supported integration exists. Do not assume a connection is already available.

Bring your messiest SDS request

The best trial includes the product that nobody can match, the supplier who never replies and the customer who insists on a particular format. Those are the tasks worth paying to improve.

Talk to Zilch about the collection and customer-response work around your SDSs. We will help establish which parts fit the distributor workflow and where specialist chemical support remains necessary.
